Way to Accept Resignation - Intern

At Hyletic, we value our interns and their contributions to our company. We understand that sometimes interns may need to resign from their positions due to various reasons. In such cases, we have a specific process in place to accept their resignation and ensure a smooth offboarding experience.

Here is the way we accept resignations from interns:

  1. Resignation Notification: When an intern decides to resign, we request them to submit a formal resignation letter or email to their immediate supervisor or the HR department. The resignation letter should include the effective date of resignation and a brief explanation of the reason for leaving.

  2. Acknowledgement: Upon receiving the resignation letter, the supervisor or HR department will acknowledge the receipt of the resignation. This acknowledgement may be in the form of an email or a written response, expressing gratitude for the intern's contributions and acknowledging their decision to resign.

  3. Exit Interview: We believe in continuous improvement, and the exit interview is an important part of the offboarding process. Once the resignation is acknowledged, we schedule an exit interview with the intern. The purpose of this interview is to gather feedback about their internship experience, understand their reasons for leaving, and identify areas for improvement in our internship program.

  4. Handover Process: To ensure a smooth transition, the intern will be requested to complete a handover process. During this time, they will be expected to transfer their ongoing projects, tasks, and any relevant knowledge to another team member or the supervisor. This handover process aims to minimize disruption and ensure that work continues seamlessly after the intern's departure.

  5. Return of Company Assets: The intern will be required to return any company-owned assets, such as laptops, access cards, or any other equipment provided to them during their internship. This process will be coordinated by the HR department or the designated supervisor.

  6. Final Documentation: Once the handover process is completed and all company assets have been returned, the HR department will initiate the completion of the intern's final documentation. This may include providing the intern with an experience letter or a certificate of completion, acknowledging their contribution to the company during their internship.

  7. Farewell and Goodbye: We believe in maintaining positive relationships, even after an intern's departure. Therefore, we encourage the team and the supervisor to organize a farewell gathering or event to bid farewell to the intern. This serves as an opportunity to express gratitude, celebrate their contributions, and wish them the best for their future endeavors.
